Build a coordinated event-product plan

Good event branding helps people arrive, understand what is happening, feel part of it, recognize supporters, remember the moment, and know what to do next.

Start with six facts

  1. Event and in-hand dates. Plan around when products must arrive, not only when doors open.
  2. Audience and attendance. Include guests, staff, volunteers, vendors, sponsors, and teams.
  3. Venue and weather. Share mounting, wind, surface, power, and installation restrictions.
  4. Budget range. Separate must-haves from optional upgrades.
  5. Artwork and theme. Gather logos, names, colors, sponsor rules, invitations, and references.
  6. One approver. Identify who confirms spelling, quantities, sizes, art, and final details.

Walk through the event in order

Arrival & wayfinding

Parking, entrance, welcome, check-in, schedule, room or field directions, accessibility, exits, and pickup points.

People & apparel

Staff, volunteers, teams, vendors, families, speakers, VIPs, and sizes or names that must be collected.

Sponsors & recognition

Logo files, sponsor levels, placement rules, banners, stage pieces, awards, and the final approval contact.

Experience & photos

Backdrops, table displays, menus, labels, props, decals, branded moments, and what should appear in photos.

Takeaways & follow-up

Favors, promotional products, thank-you cards, QR destinations, reusable pieces, and post-event delivery.
